Executive & Marketing Assistant to General Manager - PK Properties

Job Summary


The role will include Administrative support & Marketing Strategy Development support to the Sales & Leasing Team and to the Managing Director.


The main focus of this role is to oversee the smooth running of the day to day Real Estate functions of our Dubai office, including supervising administrative staff and liaising and assisting all other staff at all levels.


This position reports directly to the Managing Director.


Key responsibilities and accountabilities


• Line management of the administrative/operations team of their daily duties, including allocation of cover during absence to ensure business levels are maintained, annual performance reviews and development plans as well as recruitment of administrative staff and maintenance staff.
• Reviewing & implementing new best practice office procedures.
• Management of IT, Webs support Technician
• Working with Management/Sales Team and Designer to create and implement the Marketing Plan.
• Client and project administration management, as required by Managing Director, including but not limited to any arising client matters, liaising with customer service manager to remedy any issues. Liaise with Accounts regarding Client accounts settlement, security deposit refund, Renewals, overseeing the issuing of new Tenant contracts.
• Assisting the PRO for UAE residence visa processing, cancellations, renewal and transfers.
• Liaising with appointed UAE agent for the renewal of relevant office trade license, Chamber certificates, Labour and Immigration updates and Labour inspection.


Executive Assistant Main Responsibilities


• Providing high standards of administrative support to Managing Director, letter writing, creating new contracts for short term rentals, taking minutes of all meetings.
• Daily Diary management for Managing Director.
• Producing, designing, formatting and collating documents in Word, Excel and PowerPoint and liaising with the Design team to ensure documents are formatted correctly in line with brand, as requested.
• Assisting in developing of Marketing strategies with the Sales Team and the Managing Director.
• Coordinate activities such as external marketing campaigns and marketing initiatives, including organizing events and attending in person if required working with and support the sales and customer service teams.
• Adhoc client/project work as required, MD specific work, Business development and marketing tasks. This list is not prescriptive and could include a variety of tasks which will be dependent on the needs and requirements of the Managing Director.
