Financial Controlling Lead | Al-Futtaim Retail | Dubai - Al Futtaim Group

About the Role:

Maintain a strong accounting & operational control environment to safeguard assets, improve accounting processes and manage business risks through financial compliance.

Communicates financial concepts in a clear and persuasive manner that is easy to understand and drives desired behaviours.

Ensure that the business activities are conducted in accordance with the Financial Control Models (FCM), and you also support the definition of local financial policies and ensure that the adherence to both local and global reporting standards are controlled.

 

Key Responsibilities:

  • Create and ensure compliance with operational accounting policies.
  • Advise the Senior Financial Controller on existing and evolving operating/financial issues.
  • Responsible for all accounting processes, and standard operating procedurer.
  • Perform effective training and management on the accounting procedures.
  • Implement compliance with Transfer pricing transactions.
  • Responsible for maintaining the chart of accounts and effectively communicate any changes being made / new accounts being opened with the purpose of use.
  • Responsible for Document retention compliance in all geographies.
  • Managing the impairment workings activities during HY and YE audits.
  • Perform spot cash counts / inventory write off reviews from a Financial control element.
  • Ensure all Internal Audit reports are tracked, responded to and recommendations are implemented in conjunction with the Operational P&C Team.
  • Assist in the development of a centralized process for the management of Retail Insurance and ensure risks are adequately covered and maintained.
  • Issue yearly insurance guidance in advance with the latest requirements to ensure compliance.
  • Complete random audits of workflow to ensure that all accounting transactions are appropriately authorized and executed.
  • Ensure monthly balance sheet reviews are conducted.
  • Support the streamlining of finance process through automation where possible

General Ledger reconciliations & Schedule Review:

  • Reconciliation of GL Accounts, preparing ‘action-triggering’ schedules and taking timely action to resolve any issues.

  • Preparing the checklist and ensuring compliance that includes ICM recurring provision, accruals of missing expenses, prepaid adjustment entries, prepaid amortization and reconciliation entries.
  • Validating amortization and provision entries are as per schedule and within budget to ensure effective accounting process is followed.

  • Preparation & circulation of monthly intercompany loan reconciliation

Rental Reservations Manifest Execution

1.   Run daily reservations manifest for all branches in Dubai and Northern emirates with correct allocation of vehicles as per substitution matrix to dispatch vehicles as per requirement to all branches.

2.   Managing driver’s allocation for all transactions of vehicles. Dispatching reservation vehicles with time frame minimum 30 min in advance.

 

Rental Delivery and Collection.

1.   Manage vehicle delivery to customers- Contact customers and assign drivers

2.   Collect vehicles from customers – Contact customers and assign drivers

3.   Ensure all documents are collected and submitted as per agreed process. 

 

Walk Up

1.   Ensure 30% of total check outs for the day are provided as Walk up vehicles

2.   Liaise with the Yard team to ensure adequate stock of clean vehicles are available at all times.


Huddle Board update

1.   Update Huddle Board in each shift to ensure all correct data is up to date & huddle done daily with drivers & other associates to share important points.


Reporting

1.   Send an updated report of all required transactions (Delivery, Collections, movement of Cars, Inventory etc.) on a daily basis to the supervisor/manager.

2.   Email the Shift Handover document to the supervisor/manager at the end of each shift


Breakdowns assistance (After Office Hours)

1.   Attend to customer queries concerning service and maintenance after office hours i.e. from 08:00 PM to 08:00 AM and all day on Friday 

2.   Attend to Breakdowns and emergencies after office hours i.e. from 08:00 PM to 08:00 AM and all day on Friday.

 

Customer complaints and Resolution

1.   Ensure all policies and procedures are strictly adhered to ensure customer satisfaction.

2.   Where required customer challenges are escalated to the Supervisor/Manager as per process agreed.

3.   Ensure that professional communications are upheld at all times by Email, Phone & Verbal. This is with internal and external customers.


Driver Management

Lease Pro Management

1.   Ensure all transfers is done correctly. Check in and check out in appropriate branch. Open NRTs is closed on daily basis.
