The role of Admin Officer is to provide coordination and support to the Expo Live department on a variety of day-to-day administrative and clerical tasks both administrative and operational in nature. Duties of the Administrative Officer include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
The main responsibilties of the role include:
- Handle administrative requests and queries from senior managers and screening and rerouting phone calls;
- Organizing and scheduling appointments, meetings and events with admin software and maintain agendas and plan meetings and taking detailed minutes;
- Assist in the preparation of regularly scheduled reports and develop and maintain a filing system;
- Update and maintain office policies and procedures, assist with the development of key databases;
- Liaise with procurement, contract, finance and relevant departments to process purchase requests, orders, execution and payments. Also assist in managing the relationships with service providers and contractors to ensure efficient and effective delivery;
- Maintain contact lists, book travel arrangements, submit and reconcile expense reports, provide general support to visitors/ stakeholders;
- Act as the point of contact for internal and external stakeholders and receive all administration requests from the department as well as external parties and action accordingly in line with Expo standards;
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managersto ensure their seamless and positive experience.
