Administration Assistant - SARA Group

Perform a wide range of administrative and office support activities for division managers and senior management to facilitate the efficient operation of the organization. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.


Those who can join immediately will be prioritized.


Office Administration:


• Handle and prioritize all outgoing or incoming correspondence.


• Maintain the general filing system and file all correspondence, reports and important documents.


• Assist in the planning and preparation of meetings, conferences and workshops.


• Manage and order office supplies.


• Facilitate medical insurance enrollment, renewal and cancellation.


• Assist the PRM in managing employee filing system and documentation.


• Contribute new ideas and make suggestions for the continual improvement of services and procedures.


Telephone and Reception duties:


• Provide a professional and customer focused reception service.


• Respond to and take ownership of calls from both internal and external customers in a timely, efficient and courteous manner. Speaks clearly, distinctly, and with a friendly tone. 


• Responsible for maintaining the professional appearance of the reception desk and visitor waiting areas.


Support the Management and other staff:


• Provide word-processing and secretarial support as appropriate.


• Provide advanced administrative services for the senior management.


• Manage daily calendar and meeting arrangements.


• Responsible for confidential and time sensitive material.


• Partake in HR activities as required.


Provide logistical support:


• Prepare and follow purchase orders.


• Follow-up shipments and deliveries.


• Prepare payment to suppliers in coordination with Finance Department.


• Assist in airline and hotel booking arrangements.
