Management Assistant - MINDFREE Consulting

• Bachelor’s Degree in Project Management, Business Administration or related field of study
• A minimum of 5 years of directly related experience in construction or management firms
• Work hand in hand with other departments to obtain planning, monitoring reviews & controlling the projects’ scope, schedule, qualities and updated the management accordingly.
• Assist ensuring policies and procedures are being followed by project team at all time.
• Review and report the status of all phases of projects from concept through design, procurement & construction in line with project objectives and in coordination of the projects Directors and managers.
• Conduct meetings with operations and projects directors, managers in relation to project phases and progress stages and report to management.
• Ensure necessary method statements, quality and safety documentation are developed and approved before start of works. Necessary liaison with Quality and Safety departments.
• Assist in with Risk Assessment/ Job Hazard analysis done in advance of commencement of activities and to ensure all preventive control measures are in place.
• Assist in planning all construction operations and schedule intermediate phases to ensure deadlines will be met.
• Assist in acquiring equipment and material and monitor stocks to timely handle inadequacies.
• Assist in workforce planning in line with project objectives and time frame.
• Ensure contracts, insurance, and bonds are current and received before subcontractor performs any work on site. Follow up on collection of all non-received documents and escalate any issues to the PM
• Attend weekly projects meetings as requested by Projects Directors and Manager and keep detailed meeting minutes for publishing to project team
• Draft, submit, and track all log activities, and meeting outcomes and distribute to all team members as appropriate.
• Collect superintendent daily reports, weekly project pictures and safety documentation. Review for completeness and include in project documentation and Inform for deficiencies
• Follow up with all project managers for weekly updates, project progress, issues and claims
• Follow up with project manager on obtaining permits, licenses and approvals for the authorities.
• Ensure a proper schedule and time frame of each project is met during kickoffs and handovers to avoid penalties.
• Liaise with the other departments reporting on individual project performance, staff resource requirements, staff performance issues, training and development requirements.
• UAE Driving License
• Arabic speaker is a must
