We have an immediate opening for an Administration Assistant in our Dubai office who will assist with our daily administration and operations topics for our 5 offices (Dubai, Doha, Istanbul, Barcelona, Madrid). Our ideal candidate is a business administration professional with previous experience working in a private sector environment. Experience in an international company, with multiple subsidiaries, will be considered an asset.
Key Job Responsibilities:
- Manage all travel requests (hotels, flights, car rentals) for our consultants in all Clariba regions.
- Manage all work and residence Visa applications and renewals for UAE and Qatar including attestation process with agencies and visa process with local PROs.
- Manage medical insurance enrollments and renewals for all Clariba offices, as well as travel medical insurance policies when required.
- Assist HR Director with On-boarding tasks for new joiners, including employee set-up in ERP system, assigning courses in learning management system, entering skills and experience into ERP system, etc.
- Reconcile vacation days (used and available) for employees in September and January.
- Prepare payslips in our ERP system for Middle East employees on a monthly basis.
- Manage workplace risk prevention for each office including annual renewals and workplace visits, bi-annual employee medical checks, etc.
- Coordinate training and certification enrollments and training bonds.
- Handle apartments searches and rentals in cases where we need to send consultants to a project in another region for medium to long-term assignments.
- Manage document submissions for all customers portals when new documentation is required
- Manage office insurance and PO boxes renewals for Middle East.
- Manage mobile phone accounts, SIM applications and cancellations for all Clariba regions, check invoices; track extra charges with employees and verify expenses.
- Coordinate Company trade license renewals, computer card, tax card, professional insurance renewals, vendor registration and tender bond support.
- Arrange employee meetings and events (Q-meetings, workshops, team-building, wellness initiatives).
- Handle any other ad hoc administrative topics required by the team.
