• Handle appointments and reception service for the general manager • Offer efficient and excellent secretarial as well as office management services • Answering phones, directing calls and taking messages • Maintain safety and confidentiality of all information and documents in the office • Welcome and attend to all visitors’ inquiries • Preparing correspondence, sorting and distributing mail • Scheduling appointments • Preparing and maintaining reports, schedules, and department files • Maintaining organization of the office • Working with quotations, reports, invoices, billing, expenses, travel, projects and software systems as needed • Assisting with purchasing and inventory control of department equipment and supplies • Maintain good housekeeping at workplace • Create and maintain the filing system and make sure irrelevant files are archived appropriately • Adhere to all the company procedures at all times
