Office Manager to the CEO - Department of Tourism and Commerce Marketing

Office Administration:
 Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO Office
 Read, revise and brief CEO on all incoming e-mail and correspondence, distribute and liaise with the concerned parties and follow up related matters accordingly
 Sort, and distribute incoming correspondence with the concerned internal and external parties, in addition to follow up, determine appropriate course of action, referral or response
 Compose, edit , transcribe drafts in addition to proofread all internal correspondence, such as Admin Orders , memos, prior to CEO’s approval/ signature
 Proofread, re-draft , all outgoing correspondence, ascertain validity and reliability of data, follow up any related matters;
 Filter emails, highlight urgent correspondence and reply on behalf of CEO as needed
 Receives and screens incoming calls, determines which are priority matters
 Manage CEO’s key relationships and ensure regular engagement as and when needed.Manage CEO records, monitor deadlines and follow-up responses with internal and external parties
 Set-up office policies, procedures and ensure office smooth operations
 Perform a variety of administrative or executive support tasks that are highly confidential and sensitive
 Coordinate travel and accommodation requirements in connection with others , internally and externally, and ensure all arrangements are in place
 Arrange travel plans, itineraries, agendas; and compile travel-related documents;
 Handle ad-hoc assignments / project solely or in-partnership with others members.
2. Schedule Management:
 Plan, coordinate and ensure the CEO’s schedule is followed and respected
 Maintain calendar of appointment up-to-date
 Review all meeting requests, schedules meetings according to availability and alert CEO in case of cancelations or any other amendments
 Coordinate all onsite/ offsite events, includes setting of the event location, logisticsal , scheduling guests, coordinate event programs, maintaining the RSVP list, as well as catering arrangements
 Ensure all relevant documents, agendas etc. are received well ahead of time and are accurate/factually correct etc.
3. Meetings & Conference:
 Organize, coordinate internal and external meetings, conferences, conference calls, etc.
 Ensure meeting agenda is shared with all related parties, attend meetings and record meeting minutes
 Disseminate meeting minutes and follow up any related issues with the concerned parties
4. Office Supplies:
 Order, maintain and replenish office stationary and equipment’s inventory

5. Record Management:
 Design filing systems and related procedures
 Files and retrieves documents, records, and reports as per the document control processes.
6. General Tasks:
 Perform any other job-related duties and responsibilities as designated by the CEO
