• Prepare all arrangements for high profile events, engagements, meetings and other functions in which the DG is participating, following the required protocol
• Accompany the DG on official visits, engagements and meetings and prepare the minutes of meetings to communicate with relevant stakeholders as and when needed
• Develop updates to ensure the DG is informed of any cancelations or new meeting requests and other relevant information
• Develop scheduled reports, presentations, briefs about visitors for the DG
• Develop communications including correspondence, memos, reports and requested documents to be sent out in the name of the DG office in both English and Arabic
• Prepare and distribute meeting invitations, notifications and meeting agendas to meeting attendees
• Develop all required supporting documents for internal and external meetings are prepared and ensure proper distribution of documents to attendees as necessary
• Prepare and ensure all logistics for the internal meetings of the DG are properly completed
• Prepare travel arrangements for the DG including hotel stays and flight bookings for work related trips are made on time and accurately
• Conduct reviews of all incoming mail to the DG’s office, responding to query based communications
• Develop a filing system for the documentation of correspondences and letters coming in and out of the DG’s office is developed and maintained
• Maintain the contact list of the DG’s office including complete record of addresses, telephone contacts of all internal and external stakeholders
