This is Contract role under Manpower Group - 12 months contract. The Client is based in Abu Dhabi.
RECEPTIONIST - Abu Dhabi
Scope & impact of the position on the organization
The Office Assistant requires to perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Accountabilities and performance measures
• Ensure smooth running of all support responsibilities assigned
• Extend high internal and external customer support that meet company standards.
Responsibilities
? Answer, screen and transfer inbound phone calls
? Receive and direct visitors and clients
? General clerical duties including photocopying, fax and mailing
? Maintain electronic and hard copy filing system
? Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
? Open, sort and distribute incoming correspondence
? Coordinate maintenance of office equipment
? Arrange logistics for new hires
? Maintain and update all employee files and relevant documents
? Coordination with external PRO with new application or renewal of employee documents and company licenses
? Coordinate travel arrangements (Visa/hotel/flight)
? Attend to telephone calls and walk-in customers
? Manage petty cash and day-to-day accounting
? Prepare monthly bills for mobile phone lines issued to all employees
? Arrange and facilitate marketing events, seminars, team building, etc.
? Coordinate purchase process for administration, office and kitchen supplies
? Oversee housekeeping to ensure cleanliness of office at all times and maintain safety throughout the office
? Coordinate, receive and register cash and check collections
? Ensure proper document classification, sorting, filing and archiving of invoices and reports
? Assist Sales Engineers with submittals printing and filing
? Create PowerPoint presentations for reporting
? Coordinate with IT department for any technical issues
? File and coordinate medical/dental claims
? Complete suppliers and vendors pre-qualification forms with required documentations
? Handle all inbound and outbound shipments with coordination to respective Sales Engineers
? Coordinate site gate pass
? Maintain inventory in the warehouse (Monthly stock taking)
? Saves all acknowledgement copy of the invoices in public drive
? Assist in any ad-hoc requests that will help facilitate operations in the office
File and coordinate medical/dental claims
